On June 28, 2025, the European Accessibility Act (EAA) officially came into force. Since then, many organizations have focused on making their websites, mobile apps, and PDFs compliant. But one critical channel is often overlooked: email.
Emails are not exempt
The EAA applies to email communications — but only when they contain critical information related to services covered by the directive. That includes:
- Banking transactions and account alerts
- E-commerce purchase confirmations
- Customer service responses
- Transport or travel notifications
- Access to e-books or other digital content
- Corporate or governmental communication with the public
Internal or informal emails? These are not explicitly covered, but if you’re sending customer-facing emails, accessibility matters.
What does email compliance look like ?
To comply with the EAA, organizations must follow basic accessibility principles in their emails:
- Use accessible HTML or plain text. Avoid flashy templates that rely on images or lack semantic structure.
- Add headings and image alt text. Just like on your website.
- Offer text-only alternatives for any image-based content.
- Avoid non-accessible attachments. PDF guides or contracts must follow PDF/UA or WCAG standards.
- Use descriptive links. Say “Download your invoice” instead of “Click here”.
Common pitfalls
Many companies still send:
- Inaccessible marketing emails in image-only formats
- Important updates hidden in PDF attachments
- Confusing links with vague wording
- Emails with poor contrast or no screen reader support
These can all be non-compliant—and frustrating for users relying on assistive technology.
Why it matters
Ignoring email accessibility doesn’t just mean risking a fine — it means failing your users. For many people with visual, cognitive, or motor impairments, email may be their primary channel to receive important updates. Making these emails accessible is not just a legal obligation. It’s a service mindset.
